Job Description
I. RANGE OF DUTIES:
Summary:
- Provide administrative and coordination support for manufacturing projects by handling documentation, scheduling, reporting, and cross-functional communication
- The role focuses on project administration and data support, less technical decision-making or direct project ownership.
Project Management & Documentation:
- Prepare, manage, store, and update project (plans, data, reports, meeting minutes, records)...
- Support the preparation of project timelines, follow-up trackers, and progress reports.
- Manage, store, and update technical records, SOS, and other project-related documentation.
- Maintain structured project files in compliance with internal audit and documentation requirements.
Coordination & Communication:
- Coordinate with Production, Maintenance, Quality, Procurement, and related departments to support project activities.
- Support the organization of project meetings, prepare agendas, take minutes, and follow up on assigned action items.
- Liaise with internal stakeholders to ensure smooth information flow during project execution.
Data & Reporting Support:
- Collect project data (progress, basic KPIs, implementation status) and consolidate reports for project engineers.
- Support post-project data collection for lessons learned, basic performance tracking, and improvement records.
- Update Standard Operating Procedures (SOPs) after project completion and provide re-training to operators.
Improvement Activities:
- Support Kaizen, 5S, Lean-related activities from an administrative and data perspective.
- Implement improvement activities.
Others:
- Perform tasks of the department as required.
II. FORMAL REQUIREMENTS:
1. Education
- College/Technical diploma or Bachelor’s degree in Engineering, Project Management, or a related field (preferred)
2. Professional knowledge of:
- Up to 1 year of experience in manufacturing or project support roles
- Fresh graduates are welcome
3. Knowledge of computer servicing:
- Proficient in Microsoft Office
- Basic knowledge of data tools (e.g. SharePoint, Power BI) is a plus
4. Language
- Basic English communication (Pre-Intermediate or equivalent)
5. Professional experience:
- Up to 1 year of working experience
- Experience in cross-functional improvement projects (Lean, Kaizen, 5S, ERP, cost-saving, capacity expansion, etc.) is a plus
6. Additional Requirements:
